What documents are required to send a file to collections?

FrontLobby has partnered with a collections agency to provide a proven method of recovering debts from former Tenants in Canada.

Debts from the past 6 years can be sent to Collections. When submitting a file to Collections, make sure the Lease Record is accurate and up to date. Only former Tenants can be sent to collections.

In addition to the Tenant and property details required when creating a Lease Record, the housing provider must also provide the following supporting documents:

  1. Lease (Mandatory): Include a copy of the lease agreement that was signed by you and the Tenant(s).
  2. Rental Ledger (Mandatory): Include a month by month breakdown of the amount paid and/or owed during the tenancy to show how the total outstanding debt is calculated.
  3. Rental Application (Strongly Recommended): Include the full rental application including ID's used by the Tenant. 
  4. Order or Judgement (If available, but is mandatory in Saskatchewan, Nova Scotia & Quebec): Include all documents received from the local tenancy board, police, or other institutions regarding the tenancy. These should include judgement, monetary orders, tenancy branch decisions, etc. when available. 
  5. Tenant ID (If available): Copies of drivers license, passport, SIN, healthcare card, forwarding addresses, etc. to assist the collections agency in locating, identifying and contacting the former Tenant.

Any additional details or context that may be valuable in the collections process may be included in the Additional Details section. As new details or documents are gathered after Collections is initiated, please provide these in a timely manner.
